The challenge
The company introduced a new IT service management platform to help clients streamline IT operations worldwide. To drive adoption in international markets, it needed a localization approach that balanced speed, quality, and cost.
This was not just a simple UI update. At first, large volumes of both UI and documentation had to be translated quickly into several languages. Two major release cycles each year intensified the workload, with the risk that any missed localization deadline could stall the entire product release.
To top it off, technical complexity added to the challenge: certain strings needed to remain untouched, multiple file formats required tailored workflows, and the localization process had to integrate smoothly with the client’s existing translation tools, Déjà Vu and SDL Passolo.

Milengo created a tailored workflow that delivered accuracy for UI localization and efficiency for documentation.
Smart blend of translation methods
Translation approaches were matched to content type and quality needs. UI was translated by expert human linguists to ensure accuracy, usability, and consistency – all critical to the user experience. Whereas help documentation and wikis were handled through machine translation post-editing (MTPE), striking the right balance between affordability and quality for content that was easier to standardize.
Consistency at scale
Termbases and translation memories were developed for German (Germany), Polish, and Swedish, while additional resources were set up for Dutch and Italian. Context matching was applied to identify repeated content and lock it, preventing unnecessary retranslation. This reduced effort for linguists, lowered costs, and maintained quality. Non-translatable terms such as product names and company-specific terminology were also locked across all languages to protect brand integrity.

What’s the difference between a termbase, translation memory, and context matching?
Termbases are approved lists of key terms and product names, ensuring consistent use across all languages.
Translation memories (TMs) store all previously translated segments. They can suggest exact matches as well as fuzzy matches – partial similarities that give linguists a head start but still require editing for accuracy.
Context matching identifies segments that are repeated in exactly the same context and locks them, so they don’t need to be translated again. This reduces costs and effort.
In addition, Milengo built UI options termbases – lists of terms mapped directly to UI elements (for example, labels like My Profile or Sign out). This ensured that the terminology appearing in documentation matched exactly what users saw on screen, creating a seamless user experience.

Automating file handling
Milengo’s engineering team developed automation scripts to handle repetitive tasks. This eliminated the need to manually exclude non-translatable content, streamlined file handling, and ensured compatibility with the client’s localization tool stack. With deep expertise across most leading CAT tools, Milengo can flexibly work with and integrate into whichever translation platforms clients already use, ensuring a seamless workflow.
Context-aware validation
To ensure translations integrated into the Wiki and minimize risk, Milengo set up a process allowing the client to validate localized strings before they went live. Linguists were also provided with context references to visualize how translations would appear in the interface.
Beyond execution, Milengo also offered consultative support. The team advised on workflows, pricing, and integration strategies. Dedicated project managers and proactive communication enabled the client to expand into new languages while keeping control of costs, quality, and timelines.

Milengo built termbases and TMs for German (Germany), Polish, and Swedish. The core termbases contained 167 approved terms, while the UI options termbases covered around 10,000 words.
